Installing KeepTruckin

Navigate to the Pegasys Marketplace with the gears icon located in the top right.
Scroll down to "KeepTruckin" and click install.

|| Your KeepTruckin information will never be stored. It is only used as temporary data to map your drivers to your tractors, dispatches and shipments.

Using KeepTruckin Once KeepTruckin has been installed, click 'Open'.

You will be able to see your drivers and their hours of service that have been retrieved from your KeepTruckin account. The 'Open' button will redirect you to that record within your KeepTruckin account.

Sending a Trip Manifest to Driver(s)

Pegasys' trip manifest gets your dispatch information to your driver's hands with the ability for them to update arrived/departed times and upload POD's without the need of a dispatcher.

1. Sending the Trip Manifest You will need a dispatch associated to a driver in order to transmit the trip manifest. To send the trip manifest document, open up a dispatch record, and click the 'Transmit Trip Manifest' button located near the top of the page.

Once the 'Trip Manifest' pop-up appears, the recipient's email will automatically populate based on the driver associated. The subject and body will also populate if the document settings had been previously altered. The document links will appear at the bottom of the email. A preview of the trip manifest can be viewed with the 'Preview Trip Manifest' button located alongside the 'Send Email' and 'Cancel' buttons. To send, click the 'Send Email' button.

2. Driver Receives the Email The driver will receive an email notification on the device they are using assuming that they have their email address configured. If the notification does not appear, be sure to check your junk mail, and mark it as safe for future reference.

Fuel Upload

Pegasys can help make entering fuel far more efficient with automated fuel uploads.

Supported File Types/Vendors:

** Fleet One ** - .fle file
EFS - 110 format .dat file
Comdata - FM00001 file
Pilot Flying J - Only for customers running on the EFS platform.

Setting Up Fuel Uploads To start off, click the 'Admin' option on the navigation bar. From there, select 'Fuel Upload'.

This leads to the 'Fuel Upload' page. Next, enter all mandatory information.

If you choose to say 'Yes' to 'Create Driver Deductions' or 'Create Owner Operator Deductions', separate bills will be created issued to them. If not, a bill will only be created to the fuel vendor.

Section 3: map all of your corresponding expense items. The fuel upload will match these expense items to what is found corresponding in your selected fuel file. You can add missing expense items from this page with the 'plus' icons located next to the drop-down menus.

Using the QuickBooks Integration

Having a direct connection between your TMS and Accounting software is critical to knowing the true picture of what is going on in your business. In Pegasys, this is can be done simply by connecting to Quickbooks Online, and moving your data between the two systems.

Connecting to Quickbooks Online

Ensure the QuickBooks app is installed through the Pegasys marketplace

This app is installed by default for all new accounts

Click Tools along the top navigation bar
Click QuickBooks
Click Connect to QuickBooks and authorize Pegasys as a trusted application to your account

Mapping

Accounts map your Pegasys accounts to your QuickBooks accounts
Expense Items are mapped to QuickBooks online services. This allows us to record transactions in greater detail

To create services within QuickBooks online click Gears > Products and services > New > Services and ensure I sell this product/service to my customers is unchecked

Revenue Items map your Pegasys revenue items to your QuickBooks revenue items
Taxes will only appear if your business is outside the United States

Using the BigRoad Integration

The goal of the BigRoad Integration is to provide you with better visibility of your drivers and equipment, enabling you to make proactive decisions.

Installing BigRoad

Head to the Pegasys Marketplace via the gears icon in the top right.
Scroll down to 'BigRoad', and click "Install"

You will be prompted to enter your BigRoad API key.

Navigate to the BigRoad app. Click the menu in the top left > 'Fleet' > 'Apps'.
Copy and paste the API key under the 'Custom Integration' heading into Pegasys.
Pegasys will verify the connection with BigRoad and install the integration automatically.

Using BigRoad Click the 'Open' button once the app has been installed.

Creating a dispatch

You can take a dispatch first approach in Pegasys by creating a blank dispatch and then adding your shipments to it. However, most customers will dispatch their shipments to an existing or new dispatch.

From the Dispatch page

Click Dispatches on the top navigation bar to get to the Dispatch page.
Click on the Create button in the top right corner.
Fill out the dispatch form. Remember, you can choose Company Truck along the bottom to dispatch your drivers/owner operators or Carrier to dispatch to a third party.
Click Create.
You have successfully created a blank dispatch that you can now start adding your shipments to.
